In this post we look at two of the more advanced configurations for this plugin.
Gravity Forms to Zoho CRM plugin has two modes (Approval Mode and Workflow Mode) which allow users to control and filter the incoming leads. Here we will help you understand the difference between the two modes.
Approval Mode
This mode allows the Zoho CRM users to filter the leads coming into Zoho before they are flagged as a live lead. This can help you if you need to filter out SPAM you are receiving or if you’d like to approve the leads before they are confirmed in Zoho.
Let me show you how it works.
First go to Settings > Gravity Forms to Zoho, change the mode to Approval Mode by clicking yes. Now click Save Zoho Settings then click Test Connection. A pop-up window will appear saying “Record(s) added successfully” click OK.
Log-in to your Zoho CRM account. Go to Lead and you will see a test lead which means that it is working.
Go back to your WordPress admin and make sure that you mapped your gravity forms to Zoho fields. If you want to know more about how to map zoho fields, read our Gravity Forms to Zoho documentation here.
Let’s send a test lead to verify that the mapping is successful.
Go back to your Zoho CRM account and check the Lead. If you don’t see the test lead that we sent from gravity forms in the live leads, it’s good. Click the Lead Tools located at the top right of the Lead admin.
Select Approval Leads from the drop down.
You will see the test lead we did from gravity forms a while ago. You can approve or delete the lead by click the box beside the Lead Name. This is a great way to control the incoming leads to your Zoho account.
Workflow Mode
If you are using Workflow Management in your Zoho CRM, you may consider using this mode. For those who are using Free edition, unfortunately Workflow Management is not available.
When you set a Workflow Rule in your Zoho CRM and enable the Workflow mode, the new lead will go directly to the live lead but will also be affected by any workflows you have enabled.
For example, if you set a rule that any lead that has “Apple” subject to assign it to “Bruno”. When a new lead that has a subject “Apple” enters your live lead it triggers the rule and execute.
