Plugin Quick Start Guide
- Configure who the lead owner (email address) will be, this is who the lead will be assigned to in Zoho CRM (Must be a registered email in Zoho CRM)
- Enter the ID of the Gravity form that you would like to us – [more on this]
- The Zoho CRM username / password that is entered here should be an admin user that has permission to create leads
- Enter the Zoho CRM API key, you’ll get this from inside your Zoho account – [more on this]
- To enter a lead source that you would like the lead to be listed as, eg. a lead from my xyz web site, ensure you have a field setup for Lead Source – [more on this]
- Finally, enter the Gravity forms field names for each field that you would like to send, along with the Zoho CRM corresponding field name – [more on this]
Testing the connection
Gravity Forms Form ID
Currently the plugin supports use on one form in your web site. You can use the form on as many pages throughout the site.
To configure the plugin you need to set which gravity forms form id you intend to use. The id may be found by visiting a URL like this
your-domain-name/wp-admin/admin.php?page=gf_edit_forms
The screen shot below shows this screen and where the ID is displayed.
Zoho CRM API Key
This plugin uses the Zoho API to transmit the information from WordPress to your Zoho Account. The API uses SSL encryption to protect the data while in transit.
An API key is required to use this connection, log into your Zoho account and then visit this link you should be able to find your API key. Copy and paste it into the plugin’s settings page.
How to configure the fields
In order to send the various fields to Zoho CRM the plugin needs to know which form fields are mapped to each of the Zoho fields. This can be done by looking at the HTML source code of the page that contains your form.
Gravity Forms has a numbering system that it follows for fields. It contains the id of the form and then the an identifier for the form field – for example input_2_7
The easiest way to establish which fields it to view the HTML source code for the form when it is displayed on the front end of your WordPress site.
Example:
<input name=”input_9″ id=”input_1_9″ type=”text” value=”” tabindex=”1″> the value you need to use is the id – so input_1_9
In addition to this the field Labels that you use in Gravity Forms need to match the Zoho CRM field name. So for example if you’re sending a field for City, the label in your Gravity Forms form needs to be City.
You can send data via hidden fields, drop downs etc.. that Gravity Forms allows, the plugin does not however support the Advanced Fields for name and address.
When sending names, please use two individual text fields one for first name and one for second name, similar logic for address is required, one text field for each piece of data you would like to collect and send.
Once you have setup your form in Gravity work through the fields that you’d like to send to Zoho CRM and enter the appropriate fields in the plugins configuration.
We have included in the plugin the default fields that are available in Zoho CRM, however you’re also able to use fields that you have added to Zoho CRM, we refer to these as Custom Fields.
In the screen shot here we list these fields and highlighted in the Custom Field option at the bottom of the menu, choosing this allows you to manually enter the name of the field in Zoho CRM that you would like to use.

Configuring a Lead Source
When using Zoho CRM leads may be arriving from a number of places. Zoho CRM uses a field named “Lead Source” to display where each lead has arrive.
When creating the fields as outline above a source can be specified by creating a hidden field with Gravity Forms, in the form that you’re using and pre-populating that hidden field with a value for the source – e.g. “A lead from my web site”
