It’s true that much of the inspiration for our WordPress plugins comes directly from the client work that we complete in our Agency. Week after week we solve problems for clients with WordPress. Our newest plugin Gravity Forms Tweaks is a great example of this inspiration. And so is each of the features within the plugin. In this article we’re going to have a look in depth at one of the features – Round Robin Notifications.
Distribute Leads with Gravity Forms
Although we’re sure that users will come up with many different use cases, the idea we had when working on this was to allow a sales team to receive an even number of leads from a website. Imagine you have 6 members in your sales team. And you have a website that is generating enquiries. You want to ensure that the enquires are evenly distributed among your sales people. That what this feature will allow you to do. And it’s super easy to setup!
Out of the box Gravity Forms has a lot of flexibility with Notifications. You can enable routing and conditional logic. You can’t however easily do round robin delivery, where each new entry of the form will be sent to one of a group of email addresses.
Our approach is straight forward.
You begin by adding a drop down menu field to your form, make it hidden so that it does not display when users are viewing and completing your form. Then each of the options in the drop down menu is set to one of the email addresses that you’d like to include in your round robin delivery. See the example here.
There can be 3 or 50 options here. Making it pretty flexible. You can even use the built in bulk editor that Gravity Forms has to copy and paste a long list of email addresses.
In the Advanced tab of these fields, you can choose to make the field hidden. That’s really easy too.
Finally, in the Gravity Forms Tweaks plugin you enable Round Robin notifications, it’s just a tick box!
Configure the email Notification
When our plugin is active it adds a new option that’s the final piece of the puzzle. See below, you choose the drop down menu field, tick the box and the magic will begin!
There’s some other nice features we’ve added when implementing this for clients. A common request was to know to whom the email was sent. So we store this as a note on the entry in Gravity Forms.
